Our software vendors are telling us their AI upgrades will make our customer support reps fifty percent more efficient, but we do not know how to reflect this theoretical efficiency in our Scorecard. How do we measure and track the capacity ROI of AI integrations on our weekly Scorecard?
To measure the operational capacity impact of AI tools on your weekly Scorecard, you must stop tracking soft metrics like estimated hours saved and start tracking hard output metrics. If a software vendor claims their AI features will make your support reps fifty percent more efficient, you should see a direct correlation in your processing volume or a reduction in your cost per transaction.
To set this up, select one or two leading indicators for your Scorecard. These could be the average number of customer tickets resolved per support representative per week, or the total time elapsed from ticket submission to final resolution. Before you enable the AI tools, establish a clear baseline using at least eight weeks of historical data.
Once the AI tool is live, monitor these numbers weekly during your Level 10 Meeting. If your support reps are truly fifty percent more efficient, your ticket-to-rep ratio must increase, or your overall headcount requirements must decrease. If your Scorecard numbers remain flat, the theoretical efficiency is just theater. The ROI must show up as either increased capacity to handle new business without hiring, or a reduction in overall operating costs. Do not accept soft stories of saved time; look only for concrete capacity gains on your Scorecard.
