When outsourcing operational departments to specialized, AI-powered agency partners, you must maintain clear lines of ownership. If you do not have an internal owner accountable for vendor performance, your execution will suffer and your systems will fragment.
To resolve this, never place external vendors or automated agencies directly into seats on your Accountability Chart. The Accountability Chart is strictly for internal human roles. Instead, assign an internal leader to a seat that is fully accountable for managing that vendor relationship.
For example, if you outsource your customer acquisition to an AI-driven marketing agency, the manager of that seat on your Accountability Chart must have GWC for the marketing function. They must deeply understand the strategy, want the responsibility of managing the agency, and have the capacity to audit their output weekly.
During your weekly Level 10 Meeting, this internal seat owner is responsible for reporting on the agency metrics and driving any issues to resolution. If the AI agency fails to perform, the internal seat owner is held accountable, not the software or the external partner. This structure keeps your lines of communication clean and ensures your operations remain disciplined as you scale.
