When employees discover the power of AI, they will naturally start using their own preferred tools to speed up their work. While this individual initiative is great, it quickly creates shadow IT, fragmented data silos, and security risks.
You do not want to crush your team's natural Quick Start instinct to innovate, but you must maintain operational control. Solve this by updating your Accountability Chart. Assign the accountability for software vetting and data security to a specific seat, usually your Integrator or operations leader.
Establish a simple, fast track approval process. If an employee wants to use a new AI tool, they must submit it to this seat for a quick review of security and data privacy. The review should take no more than forty eight hours.
If the tool passes security and fits within your overall systems architecture, approve it. If not, the seat owner must help the employee find an approved alternative that achieves the same operational outcome.
By putting a clear owner in charge of AI tool curation, you keep your data secure and your workflows unified, while still encouraging your team to find creative ways to optimize their daily operations.
