How do we handle food, technology access, and physical distractions during a full session day to keep our team completely locked in?

A session day is an intense, eight hour mental workout. To maintain high energy and focus, we establish strict rules around food, technology, and distractions before we start.

First, we enforce a hard black out on all technology. No laptops are open, and all phones are silenced and placed face down on a side table. The only exception is the designated scribe or Integrator when updating the workspace or capturing action items, and even then, it is strictly utility. If an executive has an urgent personal matter, they can step out of the room during a break to handle it, but inside the room, we need undivided attention.

Second, we schedule breaks every ninety minutes to allow everyone to check emails, stretch, and return calls. This predictable rhythm prevents people from checking out mentally.

Third, handle all food logistics in advance. We have working lunches brought directly to the room to avoid losing momentum. Avoid heavy, carb laden meals that cause a mid afternoon energy crash. Lean proteins, vegetables, and plenty of water are the baseline. By managing these physical factors, we protect the high level energy required to run the IDS® process effectively and ensure no one hits a mental wall before we complete our agenda.
