Using AI to track client sentiment across emails and support tickets is an excellent way to spot operational issues before they destroy a client relationship. However, if you pipe every piece of automated feedback directly into your weekly Level 10 Meeting™, you will overwhelm your leadership team and ruin the focus of your meeting.
To keep your meetings healthy and productive, you must establish an operational filter. Do not allow raw data from your sentiment analysis tool to automatically populate your Issues List.
Instead, assign ownership of the sentiment tool to a specific seat on your Accountability Chart, such as your Customer Success Director or your Operations Manager. This person is responsible for reviewing the automated sentiment alerts on a daily basis.
If the AI flags a single email with negative sentiment, the seat owner handles it directly as part of their daily work. It does not rise to the level of a leadership team issue.
However, if the AI identifies a systemic trend, such as a sharp drop in sentiment across an entire client sector, or repeated complaints about a specific step in your delivery process, the seat owner must synthesize this data. They will then add it as a single, clear issue to your Level 10 Meeting™ Issues List.
During the IDS® portion of the meeting, your leadership team can then focus on solving the root cause of the operational breakdown, rather than getting bogged down in individual client complaints. This keeps your meeting focused on strategic solutions while utilizing the data capture power of AI.
