For a distributed leadership team that travels in for quarterly sessions, how do we handle travel logistics and room setups so people stay energized across a full day?

When a remote team convenes for an in-person session day, travel fatigue is the primary enemy of deep strategic thinking. You cannot expect executives who flew on a red-eye or took a 5:00 AM regional flight to debate organizational structure at a high level.

The firm rule for remote teams is that all members must arrive the afternoon or evening before the session. Flying in the morning of the session inevitably leads to flight delays, rushed arrivals, and depleted cognitive stamina. Eating a casual dinner together the night before allows the team to clear personal updates and casual conversation out of the way, so when we open the session room at 8:00 AM, everyone is focused on business.

The meeting environment requires careful planning. Book a private, external conference space or offsite boardroom with ample natural light, high-speed connectivity, and zero foot traffic. Never host the session in an open coworking lounge or a noisy hotel lobby suite. The room must feature a large conference table where every leader sits facing one another, along with substantial whiteboard space or large digital smartboards for real-time visual work.

Keep personal technology out of the equation. Laptops and tablets stay closed inside bags, and mobile phones remain on silent in a designated box near the door. For remote teams used to multitasking behind webcams during digital calls, this physical presence feels intense initially. However, full eye contact and physical presence are non-negotiable for doing real IDS® work.
