Our weekly To-Do list is constantly bloated because team members are adding standard, recurring operational tasks instead of true, one-week action items. How do we keep routine job descriptions out of our Level 10 Meeting™?

A To-Do on your Level 10 Meeting™ list is not a daily job description tracker. It is a specific, non-routine action item that must be completed within seven days to resolve an issue or keep a Rock on track. When leaders put standard operational tasks on the list, they are looking for validation for doing their basic job. This bloats the agenda and wastes time.

The rule is clear: if it is part of your normal seat accountability on the Accountability Chart, it does not belong on the To-Do list. Use your weekly Scorecard to track routine performance, not individual tasks.

If a leader tries to add a recurring task, the facilitator must reject it. Ask them, is this a special action item to solve an issue, or is it just you doing your job. If it is the latter, keep it off the list.

This keeps your meeting lean and focused on true obstacles. It also forces your leaders to own their seat responsibilities without needing weekly hand-holding.
