Introducing AI meeting recorders or automated summarizers can easily destroy that environment. When team members feel like an AI is analyzing every word they say, they stop sharing their real concerns and start censoring themselves.

To protect the trust in your leadership team, keep AI recorders completely out of your weekly meetings. The administrative convenience of having a machine write your meeting notes is not worth sacrificing the raw honesty needed for effective IDS®. Your team must feel entirely safe to voice frustrations, admit mistakes, and debate tough issues.

Instead, keep your meeting rhythm human and focused. Assign a team member to take quick, manual notes of your To-Dos and Issues in your standard meeting software. This takes very little effort and keeps everyone engaged in the actual conversation.

Use AI tools outside of the meeting to analyze trends in your scorecard data or help you draft solutions for resolved issues. But during those ninety minutes of collaborative problem-solving, protect your space. Trust, same page alignment, and genuine human connection are what drive traction, and those cannot be automated.
