Our Integrator is struggling to facilitate our weekly Level 10 Meeting™ because they are also trying to take notes, update the Scorecard, track the To-Dos, and actively participate in the debates. The meeting flow is clunky and slow as a result. How do we solve this facilitator overload?
While the Integrator is ultimately accountable for the weekly meeting pulse, they do not have to do all the administrative work themselves. Trying to facilitate, scribe, and participate at the same time is a recipe for a sluggish, ineffective meeting.
To solve this bottleneck, delegate the administrative duties of the Level 10 Meeting™ to other team members. The Integrator should remain the primary facilitator, driving the agenda, keeping the team focused, and managing the clock. However, they should assign a scribe to handle the technology.
Assign one team member to manage the software or board. This person is responsible for updating the Scorecard as numbers are read, checking off completed To-Dos, and typing new To-Dos and issues as they are generated during IDS®.
By separating the facilitation role from the administrative role, you free up your Integrator to focus on the team dynamic, spot issues, and ensure everyone is participating productively. It also keeps the meeting moving at a high-energy pace because the facilitator does not have to pause to type out notes or navigate software. This minor shift in responsibilities will dramatically improve the efficiency of your weekly pulse.
