How do we integrate AI tools into our Level 10 Meetings to capture meeting notes and track action items without violating confidentiality or distracting the team?

AI tools can be incredibly powerful for operational efficiency, but if they are introduced poorly, they will destroy the safety and focus of your Level 10 Meeting™. A weekly pulse requires open, honest, and sometimes raw communication. If team members feel that an AI bot is recording every word they say to build a transcript, they will stop sharing the real, ugly truths about the business, which kills your ability to IDS® effectively.

If you want to use AI, do not invite a generic recording bot to your meeting screen. Instead, assign one person, usually the Integrator or an administrative assistant, to use AI tools after the meeting to clean up and format the manually captured to-dos and meeting notes. The human element must remain the gatekeeper. Your meeting notes should be brief anyway; you only need to capture the updated scorecard, the completed Rocks, and the list of specific to-dos with clear owners and deadlines.

Keep the technology in the background. Do not let AI analysis distract from real-time human problem-solving. The value of the Level 10 Meeting™ lies in the team dynamic, the debate, and the alignment. Let the humans do the heavy lifting of identifying and solving the issues, and let AI handle the formatting of the action items after the ninety-minute block is finished.
