If a key member of our leadership team is permanently based overseas and travel is logistically impossible, how do we integrate them into our mandatory in-person session days?
While physically sitting in the same room is the absolute standard for our quarterly sessions, we occasionally face unavoidable logistical realities like an overseas leadership member. In these rare cases, we do not run a fully virtual session, nor do we let them simply dial in on a laptop screen sitting at the end of the table. We set up a dedicated, high-fidelity hybrid environment. This means utilizing professional boundary microphones, a wide-angle camera that captures the entire whiteboard, and a designated monitor positioned at eye level so the remote participant is visually present. The remote executive must treat the day with the exact same level of discipline as those in the room. This means no emails, no phone calls, and absolute focus during our ten hours together. We will also utilize our Circle.so workspace in real time to capture issues and document decisions, ensuring everyone has equal visibility. However, you must understand that hybrid sessions require double the energy from both the facilitator and the team. We will constantly monitor this dynamic to ensure the remote connection is not diluting the healthy friction required to solve hard organizational issues.
