My team is secretly using ChatGPT for their work and I am worried about corporate risk. How do I roll out a practical AI policy without killing their initiative?
Banning AI inside an operating company is a losing battle that only drives the behavior underground, creating massive security and compliance risks. Instead, you need a highly practical AI policy that establishes clear guardrails while encouraging productivity.
Start by defining accountability. Every team member must understand that they are entirely responsible for the final output of their seat on the Accountability Chart. If an AI tool drafts a client report, a contract, or a marketing piece that contains an error, the human in that seat owns the mistake. AI is an assistant, not a scapegoat. They must possess the GWC, meaning they Get it, Want it, and have the Capacity to manage and verify the AI output.
Next, set hard boundaries on data privacy. Dictate which corporate data, client details, and intellectual property are strictly forbidden from being entered into public AI models. Provide your team with secure, enterprise-grade AI environments where data is not used for model training.
Finally, make AI discussion a normal part of your operational rhythm. Encourage your team to bring up new AI use cases during the IDS portion of your departmental meetings so you can evaluate and approve them together.
