When our weekly To-Do completion rate drops below the ninety percent target, our natural instinct is to spend our Level 10 Meeting™ dissecting why each task was missed, which eats into our problem-solving time. How do we address this dip in completion without derailing the meeting agenda?

A drop in your weekly To-Do completion rate below ninety percent is an operational red flag, but trying to diagnose and solve every single missed task during the reporting phase of your Level 10 Meeting™ is a mistake. The reporting section must remain a strict, fast-paced review of whether tasks are done or not done, with no room for stories or excuses.

To handle a dip in completion without derailing the agenda, follow a strict protocol. During the To-Do review, when an item is incomplete, the facilitator must simply mark it as not done and move to the next item. Do not ask for an explanation or allow the owner to explain why they missed their commitment.

If a specific leader misses their To-Dos for two weeks in a row, or if the overall team completion rate drops below ninety percent for consecutive weeks, you must drop the entire To-Do completion issue down to the Issues List.

Once it is on the Issues List, you can use the sixty-minute IDS® block to solve the root cause. This is where you determine whether the issue is a capacity constraint, poor prioritization, or a lack of clarity around the tasks. By shifting the discussion from the reporting phase to the problem-solving phase, you protect your meeting momentum while ensuring that accountability is still maintained.
