Never solve an operational bottleneck with headcount when technology can do the job. When a department head requests a new assistant or coordinator, do not automatically approve the requisition. Instead, force them to map the tasks of the proposed role directly to their team's Accountability Chart.
Look at the core functions of the proposed seat. Use the GWC framework to evaluate the work. Does the seat require genuine human empathy, high cognitive flexibility, and complex relationship management? Or is it composed of repetitive data entry, scheduling, and report compilation? If the seat is eighty percent administrative, it is a prime candidate for AI automation, not a human hire.
Challenge your department heads to write a clear job description for an automated agent rather than a human. If they cannot define the rules of the task well enough to automate it, they do not understand the process well enough to hire for it. Before adding salary overhead, run a ninety-day trial using existing software integrations. If the automated workflow successfully handles the load, you have saved the business thousands in annual overhead and kept your organization lean, agile, and highly profitable.
