How do we handle critical, time-sensitive issues that pop up midweek without breaking our rule of waiting for the weekly Level 10 Meeting™ or letting them get lost in instant messaging channels?
The weekly meeting pulse is designed to eliminate ad-hoc meetings, but it is not a suicide pact. True emergencies require immediate action, but eighty percent of what leaders call emergencies are actually just urgent issues that can wait for the weekly Level 10 Meeting™.
To handle midweek issues without breaking your operational discipline, you must establish a clear definition of a true emergency. A true emergency is an event that immediately halts operations, threatens client retention, presents a legal risk, or directly impacts safety.
If the issue meets this threshold, do not wait. The affected leaders should hold a brief sync to resolve the immediate crisis. Once resolved, the issue must still be added to the weekly Level 10 Meeting™ Issues List. This ensures the leadership team can review the root cause and put permanent prevention measures in place during the weekly pulse.
If the issue does not meet the emergency threshold, it belongs on the Issues List for the next scheduled meeting. Do not discuss it in instant messaging channels or email threads. This only creates fragmented, chaotic communication.
Instead, train your team to drop the item directly onto the shared Issues List immediately. This clears their mind, stops the midweek chatter, and ensures the issue will be prioritized and solved during the dedicated IDS® block. This keeps your communication clean, protects your focus, and builds a mature operating system.
