Sometimes we need input from a manager or specialist who is not on the leadership team to solve a specific weekly issue. When we invite them to our Level 10 Meeting, they end up sitting through the entire ninety minutes, which wastes their time and disrupts our flow. How should we handle guests?
Do not let guests sit through your entire Level 10 Meeting™. It is a waste of their time, it compromises the confidentiality of your leadership team discussions, and it breaks the rhythm of your meeting pulse.
Instead, run a clean process. Keep the guest outside the room or off the Zoom call until you are ready for their specific issue. When you reach the IDS® portion of your agenda, prioritize the issue requiring the guest first. Have the facilitator ping the guest to join the meeting at that exact moment.
Introduce the guest, state the issue, and get their input to identify, discuss, and solve the problem. As soon as the To-Dos are assigned and the issue is solved, thank the guest and dismiss them from the meeting immediately. Do not let them linger. Then, proceed with the rest of your Issues List. This protocol protects your team's focus, respects the guest's time, and keeps your operational secrets secure while still getting the data you need to make great decisions.
