Hybrid meetings are notoriously difficult because the physical room naturally creates a separate conversation loop. To restore equal traction, you must change the rules of engagement.

First, transition your physical environment. Even if three people are in the same physical room, every single participant must log into the video call on their own individual laptop with their own camera on. This puts every face in an equal-sized box on the screen, instantly leveling the visual playing field.

Second, the facilitator must run the meeting with a remote-first mindset. When prioritizing the Issues List or starting the IDS® phase, call on the remote team members first to share their thoughts before opening the floor to the people in the physical room. This prevents the in-person group from building an unstoppable momentum that silences the remote team.

Third, use a shared digital workspace. Stop using physical whiteboards or screens that only the in-person team can easily see and edit. Every member must view and interact with the exact same digital Level 10 Meeting™ software or document.

By implementing these changes, you ensure that physical proximity does not dictate who influences the path of the business.
