One of our key managers has excellent core values alignment and clear GWC™ for their seat, but they are drowning in manual tasks and lacking the capacity to scale. How do we use AI and automation to expand their seat capacity instead of hiring an expensive assistant?

When a high performing manager lacks the capacity to scale, the traditional response is to hire an assistant or split the seat. This increases your overhead and adds complexity to your Accountability Chart. A more efficient, modern approach is to use AI and automation to expand their capacity within their existing seat.

Start by conducting a Delegate and Elevate™ exercise with the manager. Have them track their time for two weeks, cataloging every single task they perform. Group these tasks into the four quadrants: what they love and do well, what they like and do well, what they do not like but do well, and what they do not like and do not do well.

Focus entirely on the bottom two quadrants. These are the manual, administrative tasks that drain their energy and consume their hours. For each task in these quadrants, ask if it can be automated using simple AI tools or workflow integrations.

Whether it is automated meeting transcription, automated report generation, or AI assisted scheduling, you can often reclaim ten to fifteen hours of their week. This restores their capacity to focus on the high value, strategic accountabilities of their seat. By leveraging technology to solve capacity constraints, you maintain a lean organizational structure and maximize the output of your best talent.
