Our leadership team gets pitched weekly on transformative AI platforms that promise to run our entire operations. How does an Integrator cut through the vendor theater and determine if an AI platform solves an actual bottleneck?

When software vendors pitch artificial intelligence, they sell a futuristic vision of push-button management that does not exist. They focus on complex features and algorithmic capabilities rather than the operational plumbing of your business. If an Integrator buys into this theater, the company ends up with expensive, half-implemented software that alienates staff and clogs workflows.

To cut through the noise, evaluate every vendor pitch against your actual operational bottlenecks:

- Demand workflow mapping before feature demos: Never look at a product demo until the vendor explains how their tool touches your existing Core Processes. If the platform requires your team to abandon functional, established systems or overhaul how work moves through your Accountability Chart, pass immediately.
- Identify the exact constraint: Pull out your quarterly Rocks and your Scorecard. Does the vendor tool directly address a documented operational bottleneck that is currently costing you gross margin or delaying customer delivery? If the answer is no, it is an interesting distraction that does not belong in your business right now.
- Insist on a proof of concept using your historical data: Do not accept pre-packaged vendor sandbox demonstrations. Require the vendor to run fifty of your actual past customer tickets, estimates, or invoices through their system. If the output requires substantial manual cleanup to match your quality standards, the tool is not production-ready for your company.

Real operational efficiency is rarely flashy. It is simple, consistent, and directly tied to bottom-line execution.
