Leadership team members regularly show up to our Level 10 Meeting without their Scorecard numbers updated or Rock statuses reviewed, forcing us to pause the agenda while they pull reports. How do you enforce pre-meeting preparation standards?
Pausing the Level 10 Meeting™ while an executive scrambles to log into a portal, extract data, and update their Scorecard is a blatant waste of leadership time. When six leaders wait five minutes for one person to pull reports, thirty minutes of collective executive capacity is incinerated before the agenda even begins.
The meeting pulse begins long before the Segue. Preparation is a prerequisite for entry. To fix this behavior permanently, implement a hard operational cutoff:
- Set a mandatory reporting deadline, such as twenty-four hours or at minimum two hours prior to the scheduled meeting start time.
- By that deadline, every Scorecard owner must update their numbers, and every Rock owner must mark their quarterly priority On Track or Off Track.
- If a number or Rock is off track, the owner must proactively drop a concise issue onto the Issues List ahead of the meeting.
If a leader enters the room with incomplete numbers, the Integrator must not pause the meeting to accommodate them. That metric is immediately marked Off Track on the Scorecard, recorded as an incomplete reporting failure, and dropped to the bottom of the Issues List.
If a department head repeatedly arrives unprepared, this is not an administrative oversight; it is an Accountability Chart and GWC™ issue. They either do not understand their role, do not possess the discipline to prioritize execution, or lack the capacity to lead their seat. Enforcing pre-meeting preparation protects the ninety-minute time box and ensures the room enters the pulse ready to solve operational problems.
