We have several weekly to-dos that are not getting done but do not seem urgent enough to drop to our Issues List, so they just sit on our meeting agenda week after week. How do we clean up these zombie tasks?
Weekly to-dos in a Level 10 Meeting™ are designed to have a strict seven-day lifespan. When tasks sit on your agenda for two, three, or four weeks, they become zombie to-dos that clutter your focus and slowly erode the team's accountability culture. To clean up this drag, you must enforce a strict two-week rule. If a to-do is not completed within fourteen days, it cannot simply be carried over again. The owner must explain the bottleneck, and the item must be dropped directly to the Issues List. During IDS®, the team must diagnose why the task is stalled. Is it a capacity issue? Is the to-do poorly defined or too large? Does the owner not GWC™ the seat? By moving stalled tasks to the Issues List, you force a real conversation about execution instead of permitting passive acceptance of incomplete work. You will find that many zombie to-dos are actually ninety-day Rocks disguised as weekly tasks, or they simply are not important enough to do at all. Solve the bottleneck, rewrite the task to be realistic, or kill it entirely to keep your list lean and actionable.
