Our leadership team members are spending hours before the meeting updating tracking software, writing detailed issue descriptions, and reviewing the scorecard. How do we eliminate this excessive preparation waste and ensure our Level 10 Meeting remains a real-time, high-impact operational pulse instead of an administrative burden?
Your Level 10 Meeting™ is meant to be an operational pulse, not a weekly theater production. If your leaders are spending more than fifteen minutes preparing for the meeting, you are wasting valuable time on administrative overhead.
The scorecards, Rock updates, and To-Dos should be updated in real-time throughout the week, not in a mad rush right before the meeting starts. If leaders are spending hours compiling data, your tracking systems are too complex or your metrics are too hard to pull. A healthy scorecard should take less than five minutes for a leader to update.
Furthermore, stop writing paragraphs of context for your issues. An issue on the Issues List should be a simple three-to-five-word phrase that identifies the problem, not a long-winded explanation. The context should be shared verbally during the identify phase of IDS®.
The only preparation required is ensuring your metrics are entered, your Rocks are marked on track or off track, and your To-Dos are updated. If the team is doing heavy work to prepare for a meeting about work, you have over-engineered the process. Keep the preparation minimal so that the energy of the leadership team is saved for high-impact problem-solving.
