We want to replace several manual data-entry steps in our order fulfillment process with an AI agent, but we are struggling with how this fits into our EOS framework. How do we document an AI-driven process on our Accountability Chart without losing human accountability?
You must never put an AI tool or an AI agent directly in a seat on your Accountability Chart. Accountability must always rest with a human being who has the right GWC, which means they get it, want it, and have the capacity to do it. The AI agent is simply a tool that helps a human execute their roles and responsibilities.
To document this correctly, look at the seat on your Accountability Chart that is currently responsible for the order fulfillment process. That human seat remains fully accountable for the results of the workflow, whether it is run by hand or run by an AI agent. The role on their seat should be updated to include managing and auditing the AI-driven system.
For example, instead of their role being manual data entry, their new role becomes auditing order accuracy and managing the AI automation tool. They must review the system metrics weekly, ensure the agent is running within its guardrails, and solve any issues that arise when the system fails. By keeping a human fully accountable for the tool's performance, you preserve the integrity of your EOS structure and ensure that any operational failures are quickly identified and resolved.
