Our CRM and ERP contain ten years of messy, duplicate, and contradictory customer records. How do we audit and clean up our operational data before deploying AI tools so the models do not hallucinate bad information?
AI does not fix broken data. It accelerates it. If you feed ten years of duplicate customer records, conflicting invoice terms, and half-filled CRM fields into an operational model, you will get confidently stated bad answers delivered at scale.
Before spending money on AI integrations, treat your data hygiene as an operational priority. Start by narrowing your scope. Never attempt to clean a decade of enterprise data in one massive initiative. Pick one high-friction Core Process, such as your post-sale onboarding or billing dispatch, and audit only the data required to run that specific sequence.
First, identify the single source of truth for each required data field. If billing addresses live in both your ERP and your CRM with conflicting dates, declare which system governs and purge or archive the duplicate field.
Second, create a standard naming convention and required field schema. If sales reps have been entering notes as unstructured free text, convert critical inputs like deal size, service tier, and renewal date into restricted dropdowns or strict validation fields.
Third, run a human spot-check on the last ninety days of transactions. Historical data older than two years rarely needs deep cleaning; focus on current operating records. Assign one seat on your Accountability Chart to own data integrity for that process. Once that narrow dataset maintains an error rate below five percent for thirty consecutive days, your data is ready to support an AI integration.
