We want to implement AI across our operations, but our customer data is spread across spreadsheets, legacy systems, and emails. How do we structure our data hygiene and ownership on our Accountability Chart before we write a single line of AI code?
You cannot run efficient AI-powered operations on messy data. Pointing an AI agent at a chaotic, unorganized system will only produce faster, automated chaos. You must establish clean data hygiene as an ongoing operational discipline, not a one-time clean-up project.
Start with your Accountability Chart. Every seat must have clear, measurable numbers they are accountable for keeping accurate and up to date. You should assign one specific seat, typically your Integrator or an operations manager, to be the ultimate owner of your data infrastructure. Their job is to ensure that client records, sales pipelines, and inventory logs are kept spotless.
Next, define your data entry rules. Document a simple SOP for how data enters your systems. This SOP should specify where notes are logged, how files are named, and how statuses are updated. If your team is not disciplined enough to follow these steps manually, they will not be disciplined enough to manage an AI system.
Once the accountability is clear and the SOP is in place, you can use simple automation tools to enforce these rules. For example, you can set up validation gates in your CRM that prevent a rep from moving a deal forward without entering clean data. Clean up your data discipline first, and only then should you introduce AI to automate the workflows.
