Our executive team is so exhausted from running daily operations that they are treating their quarterly Rocks as an administrative burden. How do we build structural breathing room into our schedule?
When quarterly Rocks feel like a burden, it is because your leadership team has zero cognitive capacity left at the end of the day. To fix this, you must introduce white space into your weekly calendars. White space is open, unscheduled time with no assignment. It is not idle time, but rather a strategic pause designed to allow your team to step back, reflect, and work on high-value initiatives like their Rocks. To create this breathing room, look at your weekly Level 10 Meeting. Use the IDS portion to identify administrative tasks that can be automated or eliminated. Encourage your leaders to schedule at least two ninety-minute blocks of uninterrupted white space each week. During these blocks, they must turn off notifications, close their email, and focus solely on their quarterly Rocks or deep thinking. This strategic pause helps reboot exhausted brains and reduces the daily workload by letting go of low-priority tasks. Additionally, evaluate your team's conative profiles using the Kolbe Index. If your team is packed with high Fact Finders or Quick Starts, they may be overcomplicating their goals and taking on more than they can execute. Giving your team a minute to think is not a luxury, it is an operational necessity. It provides the cognitive capacity required to transition from working in the business to working on the business.
