Our weekly Issues List often ends up cluttered with several different items that are actually just symptoms of the exact same operational bottleneck, but because they are submitted by different leaders, we waste time treating them as separate problems. How do we quickly identify and consolidate these overlapping issues during our Level 10 Meeting™?
A bloated Issues List is a primary driver of meeting fatigue and inefficient problem-solving. When a leadership team has several separate items on the board that point to the same root cause, trying to IDS them one-by-one results in repetitive debates and wasted energy.
To clean up this clutter and maximize your ninety minutes, the facilitator must lead a rapid consolidation step before the team begins prioritizing the list. This should take no more than two minutes at the transition into the IDS portion of the meeting.
Use this quick consolidation process:
- Scan the list for recurring themes, such as multiple issues referencing a specific client delay, a software bottleneck, or a department handoff.
- Ask the owners of those issues if they are indeed symptoms of the same root problem, and if so, combine them into a single, high-priority master issue.
- Clarify the consolidated issue so the team knows exactly what they are solving, rather than leaving multiple separate items to confuse the agenda.
By taking a moment to group and clean up the list, you ensure that your team spends its valuable IDS energy tackling the actual root cause of your operational friction rather than hacking away at individual branches.
