Our leadership team members are adding fifteen to twenty issues to the Level 10 Meeting Issues List throughout the week, but when we get to the meeting, we find out half of them were already resolved offline. How do we stop our weekly list from becoming a graveyard of already-solved problems?

Having a populated Issues List is healthy, but using it as a chronological log of everything that happened during the week is highly inefficient. When team members fail to clean up the list before the meeting starts, it wastes valuable time during the prioritization phase of your Level 10 Meeting.

To eliminate this issue pollution, establish a simple rule: if an issue is resolved offline, the person who added it must remove it from the list immediately. Do not wait for the meeting to announce that a problem has been solved.

Additionally, your Integrator should review the Issues List fifteen minutes before the meeting begins. If there are items that look like updates rather than real issues, or if they seem resolved, the Integrator should prompt the owners to clarify or delete them before the clock starts.

Teach your team that the weekly Issues List is reserved strictly for problems that require the collective intelligence of the leadership team to solve. If an issue can be solved offline through normal, daily communication, solve it there and keep it off the list entirely. By keeping your weekly list clean and focused only on unresolved, high-impact problems, you maximize your IDS time and keep your weekly pulse operating at a high level of efficiency.
