Our weekly To-Do list has become a dumping ground for minor administrative tasks, and we are spending fifteen minutes of our Level 10 Meeting just reviewing thirty different tiny To-Dos. How do we clean up this operational noise?
Your weekly Level 10 Meeting™ is designed for high-level leadership alignment and problem-solving, not for tracking your daily administrative task list. When your To-Do list balloons with minor operational noise, you dilute the focus of the leadership team and waste valuable meeting time.
To-Dos should only be generated during the IDS® portion of the meeting to capture the specific actions required to solve a prioritized issue. If an item does not directly resolve an issue on your list, it does not belong on your Level 10 Meeting™ agenda.
To clean up this noise, apply a strict filter during your meeting wrap-up. Every To-Do must be owned by a single individual on the Accountability Chart™ and must be something that can be realistically completed within seven days.
If a task is just a regular part of a leader's job description, do not write it down as a weekly To-Do. They should manage their own daily task list using their personal productivity tools.
Keep your weekly To-Do list lean, typically averaging between one and three items per person. If you are regularly carrying more than fifteen total To-Dos on your list, you are micromanaging operations rather than leading. Focus only on the critical actions that move the business forward.
