Second, assign clear ownership of each core process to a specific seat on your Accountability Chart. Each process owner must review their documented steps and delete any obsolete instructions. Keep the documentation high-level, capturing the major steps. This is the 20-80 rule in action.

Third, create a single, clean repository for these approved documents. Remove any old versions from your shared drives. Once you have a single source of truth, you can index it with your AI search tool. This ensures the technology only accesses verified data, preventing your team from receiving outdated instructions.
