We have several critical operational tasks, like managing our software subscriptions and updating our security protocols, that are falling through the cracks. They are not listed on our Accountability Chart, and everyone on the leadership team assumes someone else is doing them. How do we capture these phantom tasks?
These are phantom tasks, and they are silent killers of operational efficiency. When roles are not explicitly written down on your Accountability Chart, they do not exist in the minds of your team. This leads to dropped balls, wasted money on unused software, and security vulnerabilities that can tank your business value.
To fix this, you must run an audit of all recurring, unassigned tasks. Bring this issue to your leadership team Level 10 Meeting. List out every single one of these phantom tasks on the whiteboard.
Do not try to create a new seat for every small task, as this will lead to a bloated, messy Accountability Chart. Instead, look at your existing seats and determine which functional area these tasks naturally belong to. For example, software subscription management and security protocols belong in the technology or finance seats.
Update the five core roles of those target seats to explicitly include these responsibilities. If a seat owner complains they do not have the capacity, you must IDS that capacity issue. But under no circumstances should a task remain unassigned. Every single activity in your business must roll up to a specific seat on your Accountability Chart. If it is not on the chart, it does not get done.
