Our department heads are reporting maximum capacity, but we suspect AI should have freed up significant time. How do we audit our Core Processes to locate this hidden capacity and plan future headcount?
It is common for managers to absorb AI-driven efficiency gains without realizing it, often filling freed-up hours with low-value tasks. To audit your capacity, you must start with your Core Processes.
First, document your current workflows and identify the specific steps where AI is active. Map out the time spent on manual execution versus strategic review.
Second, look at your Accountability Chart. Every seat must have clear, measurable outcomes. If an employee's output remains flat while using AI, they are likely filling their time with administrative noise.
Third, use the GWC™ (Get It, Want It, Capacity to Do It) framework to evaluate your managers. Do they have the capacity to manage a team that is producing twice the output? If not, you need to elevate their roles from task managers to strategic editors.
By systematically tracking these metrics, you can identify hidden capacity and make informed decisions on your V/TO® regarding future headcount. This prevents over-hiring and ensures your business scales its revenue per employee, a critical metric that strategic buyers analyze during due diligence.
