AI meeting assistants are incredibly useful for capturing operational data, but they can quickly turn into a crutch that destroys active team engagement. When your leadership team knows that an AI tool is transcribing every word and generating their action items, they naturally stop taking notes and stop active listening. This leads to a passive meeting culture where leaders sit back, wait for the summary, and fail to engage in the healthy conflict required for effective IDS®.

To prevent this dilution of your weekly pulse, you must set clear boundaries for your AI tools. First, the AI should be treated as a silent, invisible archivist, never an active participant. Second, the responsibility for capturing To-Dos and defining the next steps during IDS® must remain strictly with the human facilitator and the individual leaders.

Do not rely on the AI to tell you what your action items are. Before the meeting moves to the next issue, the facilitator must verbally confirm the exact To-Do, who owns it, and when it is due. The human ownership of the Level 10 Meeting™ must remain absolute. AI should only be used post-meeting to store the transcript or run search queries, never as an excuse for your leadership team to disengage from the active debate.
