I do not write software or understand technical architecture. How do I translate our documented Core Processes into AI prompts that actually produce reliable operational work?
You do not need to understand Python, APIs, or vector databases to put AI to work. You need to understand your company standard operating procedures and how to delegate clearly. Treating an AI prompt like a delegating conversation with a smart, literal-minded intern is the most effective mental model for an owner.
When you delegate to an employee, you do not hand them vague wishes. You define the objective, the constraints, the exact input materials, and the acceptable output format. AI works the exact same way. If you feed a language model a vague request, it produces generic corporate theater. If you feed it a documented Core Process with strict boundaries, it delivers operational consistency.
To turn an SOP into an operational AI prompt, follow a three-step structure:
- Role and context: Define the seat being simulated and the exact objective of the task.
- Source materials and constraints: Paste the documented procedure, specify what data to read, and state clearly what the model is forbidden to do or assume.
- Output format: Dictate the exact structure of the deliverable, whether that is a five-point bullet list, a standardized summary table, or a structured draft email.
Test the prompt yourself with three real examples from past operations. If the model makes an error, refine the constraints in plain English just as you would coach an employee who misunderstood an instruction. Once the prompt produces accurate outputs across your test cases, hand it to the person in that seat on your Accountability Chart. They own the prompt, they run the spot-checks, and they stay accountable for the final work product.
