Our employees are eager to build their own automated workflows, but we need a standardized process to vet and approve these internal AI tools before they disrupt our operations. How do we establish a clear operating procedure for our team to propose and implement new AI tools?

You do not want to stifle your team's initiative, but allowing every department to implement random tools creates an unmanageable tech stack and operational chaos. To prevent this, build a simple, standardized review process into your quarterly meeting cadence.

Start by establishing a one-page AI Proposal Template. Before any employee or department head can adopt a new tool or build an automated workflow, they must answer three questions:
- What specific operational bottleneck on our current Accountability Chart does this solve?
- What is the estimated time saved or capacity created for the seat involved?
- How will we monitor this tool to ensure it does not compromise data security or client trust?

Once the proposal is submitted, it goes to the Integrator for review. If the tool aligns with your current V/TO and does not duplicate existing software capabilities, the team can test it as a pilot project. Treat the pilot as a short-term trial rather than a permanent change. Evaluate the pilot during your weekly meetings to see if the tool actually delivers on its promises. Only after a successful pilot do you officially integrate the tool into your standard operating procedures and update your training materials. This keeping-it-simple approach keeps your operations clean, secure, and system-dependent.
