In our heavily regulated professional sector, client disputes frequently trigger regulatory inquiries that scrutinize internal decision trees. How do we document and govern AI-assisted advisory workflows in our Core Processes so our business remains legally defensible under audit?
Regulators do not accept black-box machine outputs as an excuse for flawed advice. If your firm operates under statutory compliance rules, you cannot allow AI systems to generate final client deliverables without a verified, human-directed chain of custody. You must formalize this structure directly within your Core Processes.
Document a clear three-step workflow for all client-facing advisory work:
- Machine aggregation: AI extracts, structures, and synthesizes source documents into draft assessments.
- Independent verification: A designated team member checks every source citation against primary regulatory statutes.
- Licensed approval: A qualified principal on the Accountability Chart reviews the deliverable, confirms professional judgment was applied, and signs off under their own authority.
Every AI interaction must generate an immutable audit log detailing the exact prompt, source data, model version, and human reviewer identity. When regulators audit your files, you must be able to demonstrate that the model operated solely as an analytical research assistant, not an autonomous fiduciary.
Address this directly on your weekly Level 10 Meeting agenda. If a team member bypasses verification steps to save time, treat it as a critical operational issue and use IDS to solve it immediately. Compliance defensibility is an all-or-nothing proposition.
