As a non-technical owner with zero coding background, how do I identify our first operational AI project without hiring an expensive data science consultant or buying complex software?
Do not start by shopping for AI tools or hiring a data science consultant. Start by looking at your profit and loss statement and your Accountability Chart. Employees are your biggest operational investment, and too many of them spend valuable hours trapped in low-value, repetitive administrative loops.
Walk your Core Processes and look for where work stalls. You are looking for cumbersome, high-frequency tasks: manually moving data between systems, cross-checking vendor invoices against purchase orders, or reformatting client intake documents. If an operational step requires someone to copy, paste, summarize, or cross-reference text using a clear set of rules, it is an ideal candidate for automation.
Frame the initiative strictly as an operations-improvement project that happens to use machine learning as a footnote. Never call it an ML project. Document the standard operating procedure first so that every step has an unambiguous input and output. Once that process is clear, you can hire a basic automation agent using tools like the OpenAI Assistants API or an automation connector to execute that documented SOP. A non-technical owner does not need to write code. Your job is to define the operational friction, clarify the expected outcome, and hold your leadership team accountable for reclaiming lost payroll capacity.
