We have designed our Accountability Chart, but we are struggling to define how our human team members should interact with our AI systems. How do we structure our roles and responsibilities to show when a human should delegate a task to an AI agent?
An AI agent is not a mysterious black box; it is simply another tool assigned to a specific seat on your Accountability Chart. To avoid dropped balls and confusion, you must clearly define the handoffs between your human employees and your digital agents.
Every seat on your Accountability Chart must have clear, measurable responsibilities. When integrating AI, you must update your documented standard operating procedures to define the exact human-to-machine boundaries.
Use this three-part framework to structure your roles and delegation rules:
- The Trigger: Define the exact event that starts the process, such as a new customer lead or a support ticket.
- The Automated Action: Outline the specific tasks the AI agent is responsible for executing, such as drafting a response or running an initial technical analysis.
- The Human Gatekeeper: Establish the exact point where a human must review, approve, or take over the task.
A human must always own the accountability for the final result. If an AI agent drafts an incorrect client email or makes a quoting mistake, the human seat owner is responsible. By defining these boundaries, your team members will know exactly when to let the technology run and when they must step in to apply critical thinking and human touch.
